Privacy notice

This page explains what SMSM Therapy Ltd does with your personal information, why we need it, how long we keep it and what you can ask us to do with it. Last updated 23 September 2026.

Who we are

SMSM Therapy Ltd is a sports injury clinic at Carlton Chambers, 5 Station Road, Bromley BR2 0EY. The entrance is the red side gate to the right of the building. You can reach us on 07896 257328 or at smsmtherapy@gmail.com. We are the data controller for the information described here, which means we decide how and why it is used.

What we collect

When you book or come in for treatment we collect your name, phone number, email address and date of birth, and the details of your appointments. Before we treat you we also take a health history. That covers your symptoms, relevant medical conditions, medication, past injuries, what we find during the assessment and the treatment we give you. If you contact us by phone, email or social media we keep that message and our reply.

Health information

Health information is treated as a special category under UK data protection law and is handled with extra care. We record it so that we can assess you safely, decide which treatment is appropriate and keep a proper record of your care. Our lawful basis for this is Article 9(2)(h) of the UK GDPR, which covers the provision of health care and treatment by someone under a duty of confidentiality. Only the therapists at the clinic see your treatment records.

Why we use your information

We use your details to arrange and confirm appointments, to treat you safely, to keep clinical records, to take payment and to answer your questions. Our lawful basis for most of this is performance of a contract with you, together with our legitimate interest in running the clinic properly. Where the law requires us to keep records, for example financial records, the basis is legal obligation.

Who else sees it

We use outside companies to run parts of the business, and your information passes through them:

  • Fresha, our appointment diary
  • Treatwell, for bookings made through their site
  • Groupon, for bookings made with a Groupon voucher
  • Our website host and the company that provides our email

These companies act on our instructions and are not allowed to use your information for their own purposes. We do not sell your information to anyone. We will only share your health information outside the clinic with your consent, for example if you ask us to write to your doctor or insurer, or where the law requires it.

Marketing

We sometimes send offers or clinic news by email or text. We only do this if you have agreed to it, and you can stop at any time by replying to say so or by emailing us. Saying no to marketing makes no difference to your treatment.

Our website

Our website uses Google Analytics, through Google Tag Manager, to count visits and see which pages people read. It also shows a Google map so you can find us. These services set cookies on your device. We use a security plugin that logs visitor addresses to block attacks on the site. You can block or delete cookies in your browser settings at any time.

How long we keep it

We keep treatment records for eight years after your last appointment, in line with the standard for adult health records in the UK. Enquiries that do not lead to an appointment are deleted within two years. Financial records are kept for six years, as HMRC requires. After those periods the information is deleted or destroyed securely.

Keeping it safe

Records are held in password protected systems, and paper notes are kept locked away at the clinic. Access is limited to the therapists who need it. If something ever goes wrong with your data and there is a risk to you, we will tell you and report it to the Information Commissioner as required.

Your rights

You can ask us to:

  • give you a copy of the information we hold about you
  • correct anything that is wrong
  • delete information, where we are not required to keep it
  • limit how we use it, or object to us using it
  • send your information to another provider
  • stop sending you marketing

Ask by phoning 07896 257328 or emailing smsmtherapy@gmail.com. We will respond within one month and there is no charge. We may ask you to confirm who you are first, so that records are not given to the wrong person.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Changes to this notice

If we change how we use your information we will update this page and change the date at the top.
